Incentive Programs
What is incentive travel?
Incentive travel is an earned travel experience used to recognize achievement and motivate specific behaviors or performance goals. A program may reward employees, sales teams, customers, dealers, or channel partners. The experience is designed to make the achievement meaningful and give participants something worth working toward.
What types of incentive travel programs can you plan?
We plan corporate incentive travel, sales incentive trips, President’s Club trips, employee recognition travel, top performer programs, customer loyalty and channel incentives, and VIP client experiences. We also design executive retreats and leadership trips.

What is a President’s Club trip?
A President’s Club trip recognizes top performers with an earned group travel experience. It can bring high achievers together with company leaders, celebrate exceptional results, and reinforce the standards your organization wants to encourage. We design the experience around your audience, culture, and recognition goals.

Are incentive trips only for sales teams?
No. Sales teams are one audience, but recognition travel can also celebrate contributions across departments, reward top-performing employees, engage customers, or strengthen dealer and distributor relationships. The right program depends on who you want to recognize and why.
Can you help align a program with our performance goals?
Yes. We work with your team to clarify the desired behaviors, audience, performance metrics, and program structure before developing the experience. This helps connect the reward to your business priorities and makes the purpose clear to participants.
Do you plan customer, dealer, and channel partner incentive trips?
Yes. We design experiences for customers, dealers, distributors, and other channel partners. Programs can support relationship building, loyalty, participation, and business growth, with the experience tailored to the people and partnerships that matter to your organization.
Can you plan executive retreats and leadership trips?
Yes. We design leadership experiences that create time for strategic planning, focused discussion, relationship building, and alignment. The venue, agenda, and activities are shaped around your leadership team’s priorities and the decisions or outcomes the retreat needs to support.
Costs & Planning
How much does an incentive travel program cost?
There is no single price for a customized program. The main variables include destination, travel dates, number of travelers, trip length, hotel category, airfare, ground transportation, dining, activities, and program management. A useful starting point is a planning range based on your group and preferred experience.
Use our incentive travel cost calculator for an initial estimate.
What should an incentive travel budget include?
Plan for accommodations, flights, airport transfers and ground transportation, meals and beverages, activities, recognition events, and professional program management. Depending on the program, you may also need room gifts, production, branding, taxes, service charges, and a contingency allowance. Confirm the inclusions and exclusions in your program proposal.
Our incentive travel budgeting guide explains the major cost categories.
Is the trip cost calculator a formal quote?
No. The calculator provides a preliminary range for budgeting and internal discussion. Final pricing depends on supplier availability, travel dates, destination, and the customized scope of your program. A planning conversation lets us refine the assumptions and develop a program around your requirements.
Can you design a program around our budget?
Yes. We can adjust destination options, trip length, accommodation category, activities, dining, transportation, and other program elements to balance your budget with your goals and participant experience. Sharing your working budget early helps us focus on realistic options.
How far in advance should we start planning?
Most incentive trips and corporate events benefit from planning several months in advance. The right lead time depends on group size, destination, season, venue availability, and program complexity. If you have fixed dates or a highly sought-after property in mind, start the conversation early so we can review availability and next steps.
Can we get started without a destination or final budget?
Yes. We start by understanding your goals, audience, approximate group size, timing, and the experience you want to create. You do not need a finished itinerary to have that conversation. Together, we can establish planning priorities and evaluate suitable destination and budget options.
What group sizes can Ascent support?
Our programs range from focused leadership retreats to large conferences and international incentive experiences. The best fit depends on your headcount, destination, program format, and support needs. Share your estimated number of travelers or attendees so we can discuss the right approach for your group.
Destinations & Logistics
Do you plan both domestic and international trips?
Yes. We manage incentive travel programs within the United States and internationally. Destination recommendations consider your audience, budget, travel time, desired experience, and the logistics needed to bring the group together.
How do you help us choose a destination?
We evaluate destinations and venues against the purpose of the program, participant expectations, travel logistics, timing, and budget. The goal is an experience that feels meaningful to your audience and works operationally for your group.

Do you coordinate flights, hotels, and ground transportation?
Yes. Travel coordination, accommodations, transportation, supplier management, and participant logistics are part of our program management capabilities. The exact responsibilities and inclusions are defined for your program so your team knows what Ascent will manage.
Do you manage participant communications and registration?
Yes. We support program communications and attendee guidance, and our affinity and association travel services include registration and participant support. We plan these touchpoints around your program so people know what to expect before and during the experience.
Will Ascent staff support the program on-site?
On-site coordination and support are part of our travel and event management services. We oversee logistics, coordinate suppliers, and address issues as they arise. Staffing and responsibilities are planned around the size and complexity of your program.
How do you handle unexpected changes during a program?
We build contingency planning into delivery and coordinate communications, suppliers, and on-site issue resolution when circumstances change. Our team works with your stakeholders to respond to the situation and keep participants informed.
See a real example of managing an unexpected disruption.
Can you create a distinctive experience in a destination we have visited before?
Yes. A familiar destination can still offer a fresh experience through local culture, distinctive venues, thoughtful recognition, and activities tailored to your audience. We consider what participants have experienced before and what will make the next program feel meaningful.
Meetings & Associations
What types of conferences, meetings, and events do you manage?
We support leadership meetings, sales conferences, company gatherings, strategic planning sessions, recognition events, and large corporate conferences. Our capabilities include venue and logistics management, agenda development, experience design, and event technology.

Do you support in-person, hybrid, and virtual events?
Yes. We support in-person, hybrid, and virtual event formats. The format, technology, communications, and engagement approach are planned around your audience and objectives, including how remote and in-person participants will take part.
Can you help develop the agenda and attendee experience?
Yes. We help structure agendas and sessions that communicate priorities, encourage participation, and support your intended outcomes. We also design the broader experience, including networking, recognition, and activities that bring people together.
What is affinity and association travel?
Affinity and association travel brings people with shared interests or membership together through a group experience. It can help associations, membership organizations, alumni groups, and other communities build relationships, encourage participation, and strengthen the value of belonging.
Learn about affinity and association travel.
Can you manage a recurring annual program?
Yes. We design and manage annual programs and use feedback from each experience to inform the next one. That can include refreshing destinations, refining communications, adjusting the agenda, and improving the participant experience while keeping the program aligned with your goals.
Results & Next Steps
What does the planning process look like?
Our process has four stages: Discover your goals, audience, and success metrics; Design a customized experience; Deliver the program with coordinated logistics and on-site support; and Debrief the outcomes and opportunities for improvement.
How do you measure the success of a program?
We agree on success criteria during discovery, then review outcomes after the program. Depending on your objectives, the review may consider participant feedback, engagement, attendance, satisfaction, retention, loyalty, or sales performance. We also capture operational lessons to improve future experiences.
Does incentive travel guarantee higher sales or a specific ROI?
No single result applies to every organization. Outcomes depend on the program design, qualification criteria, audience, business conditions, and how performance is measured. We focus on defining relevant goals and reviewing results against those goals rather than treating a general industry statistic as a promise for your program.
Where can we see examples of Ascent’s work?
Our case studies explain how we approach real program challenges, from recognition and relationship building to operational issues. They are a useful way to understand how strategy and execution come together in an Ascent experience.
What information should we share to start planning?
Tell us about your organization, the purpose of the program, the audience, estimated attendance, preferred dates, and any working budget or destination ideas. It is also helpful to share what has worked in past programs and what you want to improve. If some details are still undecided, we can help you work through them.
